Massimo: Good morning everyone, and welcome to this first episode of Marketing Caffè B2B, where, over a coffee, we discover a company. Today, I welcome Giovanni, and to adhere to our “interview over a coffee” rule, I’ll go straight to the first question. I ask Giovanni to introduce himself, tell us what he does, and who IFIN Sistemi is.
Giovanni Martingano: IFIN Sistemi is a company specialising in the digital management of documents and processes. We support companies and public administrations in the transition from paper to digital with solutions that simplify daily work, ensure regulatory compliance, and improve efficiency. In practice, we make everything related to information within a company more secure, faster, and more sustainable.
Massimo: In this sector, especially regarding these services, my experience suggests that companies usually activate IFIN Sistemi's services, or that world of services, when they are obliged to or when there is a strict regulation in that area. This, in reality, creates more problems for companies than anything else, because they don't do what they should to be efficient. What has been a challenge in recent years that has involved you and seen you alongside companies with regard to regulations or legal obligations?
Giovanni Martingano: Regulatory compliance has, in some ways, pushed us to innovate. We have transformed rigid rules into cloud services that are as intuitive and integrated as possible. In recent years, regulatory pressure, such as electronic invoicing, compliant preservation, and new European regulations, has forced us to innovate quickly. The most concrete challenge has been transforming these complex obligations into simple, accessible services for clients. We have invested heavily in cloud platforms and integrations with document management systems to minimise the impact on companies' internal processes. This was the real technological challenge, which I must say we have won.
Massimo: Precisely because your sector is perceived as technical, almost cryptic for those not directly involved, what kind of commercial or marketing strategy allows you to speak the same language as companies?
Giovanni Martingano: The key is to talk about value, not rules. Efficiency, savings, new opportunities for clients. In a sector largely perceived as technical, our winning strategy has been to translate regulatory complexity into concrete value for clients. So, we don't just talk about rules, but about efficiency, cost reduction, and new business opportunities. This consulting approach has allowed us to differentiate ourselves and gain the trust of both large players and small and medium-sized companies.
Massimo: After these almost “necessary” steps, we were talking earlier about electronic invoicing or the big change related to GDPR and data retention, now, at the end of 2025 with an eye on 2026, what challenge do you believe European companies face regarding data and document management?
Giovanni Martingano: Today's challenge, also in light of the complex geopolitical landscape, is to manage data securely and compliantly, in a context of cyber risk and constantly changing rules. The secure and compliant management of data takes place in an increasingly fragmented context. Businesses must face cyber risks, rapidly changing regulations (consider the NIS 2 regulation), and the need to ensure operational continuity. The game is played on three fronts: security, compliance, and, above all, usability of solutions.
Massimo: Looking generally at the digitisation of processes and the great value it brings to businesses, especially European SMEs but not only, what advice could be given to companies for a truly effective digitisation journey?
Giovanni Martingano: My advice for anyone undertaking a digitisation process is to start small but with a clear vision. Begin with a pilot project, measure the results, and then scale up. A strategic vision is needed: it's not just about buying software, but about rethinking processes. People need to be involved, competent partners relied upon, and scalable solutions focused on. It's better to approach the process one step at a time.
